Met at YVR and on your way into Vancouver
At Vancouver International a booked pickup runs through a dispatch system, so your driver isn't circling the terminal hoping to spot you. Here's how the meet works, and what's worth settling before you fly.
How the airport calls your vehicle in
Only approved commercial operators may use the terminal curb for pickups. Before a pickup, drivers report to a holding area for commercial vehicles on McDonald Road (just off North Service Road) and join an electronic dispatch line. When your group is ready, the vehicle is sent to a numbered bay at the Domestic or International Terminal, and it may hold that bay for up to 30 minutes.
Half an hour is plenty when everyone is through baggage claim, and tight if a suitcase has gone missing. Keep one person in touch with the driver so the call to the bay comes at the right moment.

Meeting in Arrivals, or at the bay
You can choose. The driver can come into Arrivals, find you and walk everyone out, which is lovely for first-time visitors and older relatives. Or the driver sends you the bay number ahead of time and you find it yourselves.
On the International side, the choices are the East Loading Dock, an overflow area, and bays through a tunnel signed Authorized Vehicles Only. On the Domestic side, follow the car-rental signs to the glass entrance on Level 1. Expect a small handheld sign rather than a welcome desk: operators may not set up tables or use airport seating to check groups in.
The paperwork behind it
To hold a YVR Commercial Vehicle Operator Permit, an operator must carry commercial general liability cover and be licensed by BC's Passenger Transportation Board. Each trip goes into the airport's online vendor system an hour or more ahead of pickup, and changes are taken until half an hour before. Pass on a flight change the moment you hear of it.

Good to know at Vancouver International Airport
- The airport is on Sea Island in Richmond, about 12 km from downtown Vancouver in a straight line.
- Permit holders may greet pre-arranged passengers only with small handheld signs, and may not set up tables or use airport seating to check groups in.
- International Terminal pick-up zones include bays reached through an 'Authorized Vehicles Only' tunnel, an overflow area and the East Loading Dock; Domestic Terminal bays are at the Level 1 glass entrance, following the car-rental signs.
- Each pre-arranged trip must be registered in the airport's vendor portal at least 60 minutes before pick-up; edits are allowed up to 30 minutes before.
- Every commercial operator picking up at YVR must hold a YVR Commercial Vehicle Operator Permit; applicants need commercial general liability insurance and a BC Passenger Transportation Board licence.
From Sea Island to the city
You land on Sea Island, which belongs to Richmond. It's about 15 km by road to the Waterfront, around 25 minutes when the roads are quiet and more at busy times. Coal Harbour, Yaletown and Robson Street hotels are all within that, and the Richmond airport hotels are only minutes away.
Your questions
Can we head straight from the airport to Whistler?
Yes, and a minibus is a good size for the Sea-to-Sky Highway. From 1 October to 31 March, winter tires or chains are required from just north of Horseshoe Bay; the operator confirms the vehicle is equipped. Whistler is about 120 km from Vancouver, roughly two hours.
We're carrying on to Victoria. Does the ferry work with a group vehicle?
It does. The Tsawwassen to Swartz Bay sailing takes about 1 hour 35 minutes, and vehicle check-in shuts half an hour before sailing. Allow about three and a half hours door to door from Vancouver.
Why can't any van just come and get us?
Because YVR limits curb pickups to permit holders. Booking an operator that already holds the permit keeps the meet legal and on time.
